Level 2: Claude Projects with Persistent Memory
Claude Projects give Claude a permanent workspace with saved instructions and context. You tell Claude about your business once. Every chat inside that Project starts with Claude already fully briefed. No more re-explaining yourself.
Level 3: Claude Skills and Routines
Claude Skills are reusable instruction sets for specific, repeating tasks. Claude Routines let you schedule those tasks to run automatically on a set schedule, without you having to start anything. This is where Claude starts working in the background, fully on its own.
Start at Level 1 today. Most business owners and non-technical users get enormous value from Levels 1 and 2 alone.
5 Claude AI Automation Workflows Any Beginner Can Use
Workflow 1: The Repeatable Prompt Template
What it solves: Spending time crafting the same type of request from scratch every time.
Write a prompt template once. Use square brackets for the parts that change each time. Save it in a notes app, a Google Doc, or directly inside a Claude Project's custom instructions.
Here's a template for writing a weekly business update email:
Role: You are a professional business writer with a warm, direct tone. Task: Write a weekly business update email for [company name]. Context: [Brief summary of what happened this week.] Format: 3 short paragraphs covering the opening, highlights, and what is coming next. Length: Under 200 words.
Every week, open that template, fill in the brackets, paste it into Claude. Done in under 2 minutes instead of 15.
The key is specificity. The more detail your template includes, the less work Claude has to guess, and the more consistent the output.
Workflow 2: Claude Projects for Persistent Context
What it solves: Explaining your business, tone, and goals at the start of every single chat.
Claude Projects are one of the most underused features in Claude AI. A Project has its own custom instructions, persistent memory, and uploaded files. Once you set it up, every chat inside that Project starts with Claude fully briefed.
Here's what to put in your Project's custom instructions:
You are assisting [your name] at [business name]. [2-3 sentences describing what the business does.] My writing tone is [describe: professional, casual, friendly, direct]. My target audience is [describe your customer]. Always respond as if you already know my business well.
Add any relevant files, such as a brand guide, FAQ document, or example writing samples, and Claude has everything it needs to produce consistent, on-brand results.
To create a Project: open Claude AI, click "Projects" in the left sidebar, create a new Project, and add your instructions under the Instructions tab.
Once this is set up, you stop re-explaining yourself. Claude just knows.
Workflow 3: Email Writing Automation
What it solves: The 20 to 30 minutes it takes to draft, revise, and finalize professional emails.
Email is one of the highest-return Claude automation targets for business owners. Once Claude knows your tone and context, drafting an email takes minutes instead of half an hour.
Here's the workflow:
- Create a Claude Project for email writing (using Workflow 2 above)
- Add a few examples of your best emails to the Project files as reference
- Use this prompt structure every time:
Write an email to [recipient or role] about [topic]. Goal: [What you want them to do after reading.] Tone: Match my usual writing style from the reference examples. Length: Under 150 words.

Workflow 4: Batch Your Weekly Content in One Session

Claude generates all seven in one go. You review, make light edits, and schedule. What used to take hours becomes one focused session per week.
Workflow 5: Meeting Notes to Action Plan
What it solves: The 30-plus minutes after every meeting spent turning rough notes into organized next steps.
Paste your raw meeting notes or a call transcript into Claude and get back a clean, structured action plan. I use this every week and it saves me a significant amount of time.

Please extract:
- Key decisions made during the meeting
- Action items, with the owner and deadline if mentioned

Claude Skills: Your First Reusable AI Playbook
Once you're comfortable with Projects and saved prompts, the next step is Claude Skills.
A Skill is a document you write that gives Claude detailed instructions for a specific repeating task. Think of it as a permanent playbook. You create the Skill once, and every time you activate it, Claude follows the same structured process to produce consistent results.
For example: a "Weekly Content Report" Skill that tells Claude the exact format, data points, and writing style for your weekly content summary. You activate the Skill, give Claude the raw data, and it produces the same quality report every week.
